Summary of Board Meeting held March 15, 2023

The Board of Director’s Meeting was held on Wednesday, March 15, 2023. On the final day of February, our club had 230 Active Members. Attendance for the month’s three meetings was 39% (up 2% from last month). Average attendance at each meeting was 92 members and 8 guests. Our Engagement Ratio for the month was 60% (up 9% from last month). Average in person attendance was 80 and average zoom 35 (with the exception of the February 15 Zoom only meeting.) Six terminations occurred in February: Sofia Nordenstam (Moved), Grant Peterson (Moved), Julie Picknell (Family Obligations), Irem Yoruk (Moved), Louis Callaway (Deceased), and Paul Smith (Disinterest).

Our club financial highlights include Foundation total assets of $2,632,851 and Club Operations balance of $54,770.

Our current model for AV/Tech for the weekly hybrid meetings is not sustainable. The model is costly and we lack the proper technical support to make it happen. Dawn Johnson is researching moving to a streaming model. However, we still will not have the technical foundation to take this on. An ideal solution is to have a dedicated tech person on staff – which we don’t have. Stripping it down to streaming is the next best thing but getting support to make this happens remains an issue. Discussions continue on this very important aspect of the Club’s business meetings.

Our Treasurer-Elect Carlos Valderrama recently had to leave our club. A new candidate for Treasurer has been determined and is being vetted by the Nominating committee. Once the committee has come to a resolution, an announcement will be made to membership. Policy states that this announcement needs to take place first, followed by membership vote in a subsequent weekly meeting.

The search committee conducted two interviews on March 10th for the Executive Director position and offered the position to one of the candidates. A formal announcement will be made once the contract is signed and the background check has cleared.

The board approved a revised proposal to hold another Send Hunger Packing this year. The new proposal addressed the concerns raised at the previous board meeting (including removing the funding request and clarified how donations would be handled). The event will be held October 28th. The funds will not go through the Club, but directly through the Kids Coalition Against Hunger. This will be an outside volunteer opportunity for the club.

The board discussed developing a policy about the usage of photos on our website and in our newsletters. All photos and intellectual property used must be owned by the Rotary Club of Ann Arbor or part of the Public Domain to avoid copyright infringement.
