Summary of September 17, 2025 Board of Directors Meeting

On the final day of the month our club had 203 Active Members, according to ClubRunner statistics. Attendance for August’s meetings was 33% (up 6% from last month). Average attendance at each meeting was 66 members and 13 guests. Our Engagement Ratio for the month was 55% (up 12% from last month).

A discussion ensued about the need for committee dates and committee attendance submitted. Attendance goes to the Secretary; committee dates can be submitted through our Rotary calendar.

Membership Updates

  • The board voted in one new member:

Treasury Update

Our club financial highlights include Foundation total assets of $3,750, 464.91.and Club operating cash balance of is $104,249.67. Figures from GPO proceeds will take time to develop.

 

Pennies for Polio

  • John White has done a great job pulling together information for this effort. More information will be coming from the podium.

Communication Platform

  • Dan Romanchik is proposing that we switch our communication tool away from Constant Contact and move to Groups.io.
  • The platform is more interactive and less of a marketing tool, which could help enhance member engagement.
  • Specific mailing lists can be created to meet each committee’s needs.
  • We will also save money since the annual fees are less.
  • The board will create a formalized plan for this change.
  • Roy More is attending the large club conference and will find out what communication tools other clubs are using.

Newsletter

  • A proposal was offered to rename our newsletter – the current suggested name is “People of Action.”
  • A discussion occurred on what steps to take to make this change and how to make sure we are communicating transparently.

Budget Overview

  • Bill and Norman provided a budget overview for the Club (501c4) and the Foundation. We are closely affiliated but these are two separate organizations.
  • One-third of our dues goes to RI and District dues (paid 2x per year).
  • This will be shared with the entire membership in the near future.
